Warner Fleet Services Saves Time and Money
With TMT Fleet Maintenance Software
 

Located in Salt Lake City, UT and in business since January 2003, Warner Fleet Services offers full service repair and maintenance services to customers and their fleets nation-wide. At present, the company has five dozen users working daily in TMT Fleet Maintenance, running on an ASP platform.

The Challenge

"Canned reports in our world are never enough. That's probably true for most transportation industry businesses," said Warner Fleet Services General Manager, Merret Powers. "In 2007, we were in a position where the database we were using was not as robust as we needed. The people who hosted our database weren't able to pull the information that provided us with the most value, like we can using Crystal Reports."

"Long story short, we needed better reporting. It was the single, biggest need."

If having a solid reporting mechanism in place was the largest requirement, it wasn't the only one, according to Powers.

"There was another hurdle we faced--PM notification, by exception, to 1200 locations."

Communication with various entities and locations is a critical need in large repair and maintenance organizations.
It can make the difference between good customer service and bad; between preventive maintenance and a major repair; between keeping and losing a customer.

"We needed a system to help us take care of our customers," he said.


The Solution
Implementing TMT Fleet Maintenance brought the company to greater efficiencies and overall success. Immediately after training, the Warner Fleet Services team began to save time and money by extracting key information from the company's existing database. Designated personnel had the ability to access data and create, customize and maintain useful, formatted reports. Relevant information was analyzed and interpreted through an integrated Crystal Reports feature built in to TMT Fleet Maintenance software.

From pick lists to drag-and-drop charting, from the simple to the complex, the company now has a tool with point-and-click functionality for easy-to-create reports and full capacity to produce special customized reports on demand--meeting and exceeding company and customer expectations.

The Result

"With TMT Fleet Maintenance we were able to harness the data from the other database. It brought us up to snuff. It's crucial to be able to customize information. Now our users are writing, generating and publishing reports," Powers added.

"Feeding maintenance data into TMT software heightened our ability to work with all 1200 locations including six maintenance shops." The PM Scheduling System, one product feature of TMT Fleet Maintenance software, allows unlimited dependent and independent PM levels for tracking planned inspections with multiple interval capability.
"We now use PM alerts that let us go in and set-up-then automatically generate-notifications based on a PM percentage," he said. "The weekly PM report has been a fantastic addition."

"And, we couldn't have asked for a better support team," he said, noting that the TMT Fleet Maintenance implementers, trainers and customer service employees and management were so attentive that it made the Warner Fleet Services team feel like their only customer.

What next?

Said Powers, "On the horizon, we are installing ResultsNow and The Dawg."

ResultsNow by TMW Systems is a browser-based, executive dashboard application used to determine whether a company is meeting daily, weekly, monthly, quarterly or yearly business goals. It provides an up-to-the-minute snapshot of goals, costs, and operational performance that directly affect a company's profitability.

The Dawg works in tandem with ResultsNow and takes the business monitoring process one step further. The Dawg enables management-by-exception, alerting responsible people, or their managers, by email when a critical business performance measure moves out of acceptable ranges or even if a particular event, such as unbilled work, overdue invoices or a lapsed preventive maintenance schedule are detected by system monitors. Alerts and email recipients are configurable by the company to focus management attention where it's needed the most.

"We are installing both products to really get the full benefit of metrics, dashboards and customization we need to take us to the next level," Powers concluded.
